Maintenance & Repairs

Yale Graduate Housing and Elm Campus Partners work together to ensure your home remains safe, comfortable, and well-maintained. Use this guide to determine who to call for urgent issues, how to handle routine repairs, and when to reach out directly to the Housing Office.

SMELL GAS?

If you smell gas inside your unit, leave your apartment immediately. Once you are safely outside the building, contact the Southern CT Gas Co. at 1-800-659-8299 or call 911.

Emergency Repairs

Emergency repairs consist of urgent situations that require immediate attention to protect your safety, health, or the structural integrity of your housing unit.

What Counts as an Emergency?

  • Complete loss of heat, electricity, or water in your unit
  • Active water leaks (leaking into or from ceilings, walls, toilets, pipes, or showers)
  • Broken elevators in dormitory buildings
  • Bug or rodent sightings requiring immediate intervention
  • Broken exterior doors or windows that compromise your physical security

Who to Call Immediately

Property Type Emergency Phone Number Response Timeline
Standard Graduate Housing (203) 432-6888 (Facilities Customer Service) Initial response within 24 hours
Master-Leased UP Properties (203) 776-4466 (Elm Campus Partners) Immediate dispatch for urgent issues

Routine Maintenance Requests

Routine requests handle non-life-threatening situations, such as a slow-draining sink, a leaky faucet, minor appliance issues, or a loose cabinet hinge.

For Standard Graduate Housing

Please use the official university online portal for all standard facilities requests.

  • Log into the Facilities Work Request page using your Yale NetID.
  • Select “Facilities Work Request”.
  • Complete and submit the online form.

For Master-Leased UP Properties (Elm Campus)

Routine service requests for Elm Campus properties must be submitted online through their dedicated portal (sign-in required): Elm Campus Maintenance Request

Be sure to include your name, full apartment address, phone number, and a detailed description.

Special Repair Situations & Exclusions

Certain routine issues cannot be resolved through a standard Facilities Work Request. Please review the specific protocols below for laundry, furniture, and cleaning:

  • Washer/Dryer Malfunctions: Laundry machine repairs are handled directly by our vendor. Issues can be reported to otasupport@cscw.com.
  • Mattress Replacements: Requests for major physical property swaps, such as replacing a dormitory mattress must be routed directly through the Yale Housing Office.
  • Cleaning Requests: When moving in, if your unit hasn’t been cleaned, notify housing as soon as possible. After the first student moves into the unit, students are expected to maintain and clean their own personal rooms and apartments. University facilities teams do not provide custodial services for individual residential units.
